This Privacy Policy explains how we handle personal data in connection with the website mna.itcluster.lviv.ua (the "Website") and the conference "Scaling & Capital Strategy for Tech Companies" taking place on 23 October 2026 at Google for Startups Campus Warsaw, Plac Konesera 10, Warsaw, Poland (the "Event").
We process personal data in accordance with Regulation (EU) 2016/679 (GDPR) and the Law of Ukraine "On Personal Data Protection".
1. Controller
The controller of your personal data and the organiser of the Event is Association "Lviv Cluster of Information Technologies and Business Services" (Lviv IT Cluster), identification code (EDRPOU) 37801334, registered address: 3 Ulasa Samchuka Street, Lviv, 79011, Ukraine ("we", "us").
You can contact us about personal data at info@itcluster.lviv.ua or by post at the address above.
2. Data we collect
When you apply for the Event, we collect the data you enter in the registration form: first and last name, e-mail address, company, job title, LinkedIn profile and phone number. Fields marked with an asterisk are required to consider your application.
In connection with your application and participation, we also process:
- the status of your application and our notes from its review;
- information from your public professional profile, which we may check when reviewing the application;
- check-in data at the Event;
- your marketing preferences and our correspondence with you;
- photos and video recordings made at the Event (see section 8);
- technical data from your use of the Website, such as IP address, browser and device type, and cookie identifiers (see section 9).
We do not request special categories of data, such as health information. Please do not include such data in the form.
3. Purposes and legal bases
We use your data:
- to review your application and decide on admission, and to organise your participation (confirmation e-mails, guest list, check-in). Legal basis: Art. 6(1)(b) GDPR, as these are steps taken at your request;
- to send you practical information about the Event, such as programme or venue changes. Legal basis: Art. 6(1)(b) and Art. 6(1)(f) GDPR (our legitimate interest in running the Event);
- to send you news and invitations to other events organised or co-organised by Lviv IT Cluster, if you have agreed to this. Legal basis: Art. 6(1)(a) GDPR (consent);
- to pass your data to Pulse, our networking partner, if you have agreed to this in the form. Legal basis: Art. 6(1)(a) GDPR (consent);
- to document and promote the Event with photos and videos. Legal basis: Art. 6(1)(f) GDPR (legitimate interest) and, where required by law, your consent (see section 8);
- to operate and secure the Website. Legal basis: Art. 6(1)(f) GDPR;
- to use analytics and marketing cookies, if you have agreed to this. Legal basis: Art. 6(1)(a) GDPR;
- to answer your requests and to establish, exercise or defend legal claims. Legal basis: Art. 6(1)(f) GDPR and, where applicable, Art. 6(1)(c) GDPR.
Applications are reviewed by our team. We do not make decisions about you based solely on automated processing.
4. Recipients
We do not sell personal data. We share it only as needed with:
- our service providers: website hosting, registration form, e-mail and newsletter services, cloud storage, photographers and video contractors. They act on our instructions under data processing agreements;
Google for Startups Campus Warsaw, which receives the guest list (name and company) to manage entry to the venue;
Pulse, our networking partner, if you agree to this in the registration form;
- public authorities and courts, where the law requires it.
Event partners may use published photos and videos of the Event. We do not share attendee lists or contact details with partners.
5. Processing outside the EEA
We are established in Ukraine, so we process your data in Ukraine. The European Commission has not issued an adequacy decision for Ukraine. We collect the data directly from you and protect it to the standard required by the GDPR.
Some of our service providers may process data outside the European Economic Area, for example in the United States. In such cases we rely on an adequacy decision (including the EU-U.S. Data Privacy Framework) or on Standard Contractual Clauses approved by the European Commission. You can ask us for more information about these safeguards.
6. Retention
We keep:
- data of approved applicants and participants for 12 months after the Event;
- data from declined or withdrawn applications for 3 months after the Event;
- newsletter data until you unsubscribe or withdraw consent. After that we keep only your e-mail address on a list of people we must not contact;
- published photos and videos for as long as they form part of our Event archive and communications, unless you object and your objection is upheld;
- unpublished photos and videos for 24 months after the Event;
- correspondence and requests for 3 years after the matter is closed, or longer if needed for legal claims;
Website server logs for up to 90 days.
Cookie lifetimes are listed in the Cookie Policy. When the retention period ends, we delete or anonymise the data.
7. Your rights
You have the right to access your data and receive a copy, to have it corrected or deleted, to restrict its processing, and to receive the data you gave us in a machine-readable format. You can object to processing based on our legitimate interest, including photos and videos. You can object to direct marketing at any time.
Where we rely on your consent, you can withdraw it at any time, for example using the unsubscribe link in our e-mails or the "Cookie settings" link on the Website. This does not affect processing carried out before the withdrawal.
To exercise your rights, write to info@itcluster.lviv.ua. We will reply within one month. In complex cases this period may be extended by two months, and we will let you know. We may ask you to confirm your identity.
You may also lodge a complaint with a data protection authority, in particular in the EU country where you live or work. In Poland this is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw). In Ukraine this is the Ukrainian Parliament Commissioner for Human Rights.
8. Photos and videos
We will take photos and make video recordings at the Event, including of the sessions, the audience and networking. We use them to document and promote the Event and our activities on our websites, social media and YouTube. Event partners may also use them in their materials.
If you do not want to be photographed or filmed, please notify that you do not want to be captured. Our photographers will try not to capture you, and we will not publish materials in which you can be clearly identified. You may still appear in general shots of the audience or the venue.
If you find a published photo or video in which you can be clearly identified and want it removed, write to iryna.rudenko@itcluster.lviv.ua. We will remove it or blur your image unless we have compelling grounds to keep it. Speakers are photographed and recorded on the basis of their separate consent.
9. Cookies
The Website uses cookies. Necessary cookies are always on. Other cookies are used only with your consent, which you can give or change in the cookie banner or via "Cookie settings" in the footer. See the Cookie Policy for details.
10. Other websites
The Website links to third-party sites, such as IT Arena, Pulse, partner websites, YouTube and social networks. Their own privacy policies apply, and we are not responsible for how they handle data.
11. Age
The Event is intended for adults. We do not knowingly collect data of persons under 18. If you believe a minor has applied, please contact us and we will delete the data.
12. Security
We protect personal data with appropriate technical and organisational measures, including encrypted connections, access limited to team members working on the Event, and confidentiality obligations. In the event of a data breach, we will notify the supervisory authority and affected persons where the GDPR requires it.
13. Changes
We may update this Privacy Policy. The current version is always available on the Website. We will notify registered participants by e-mail of any significant changes.
